What Is a Time Card Calculator?

A time card calculator (or timesheet calculator) is a tool that computes your total work hours, breaks, and overtime for a given period. It helps employees track their time accurately and employers process payroll correctly.

Our calculator uses the FLSA (Fair Labor Standards Act) standard for overtime calculation: hours worked beyond 40 in a workweek are paid at 1.5× the regular rate.

How Work Hours Are Calculated

For each day, enter your clock in time, lunch break start/end, and clock out time. The calculator automatically computes:

Daily Work Hours = (Clock Out − Clock In) − (Break End − Break Start)

Example: Clock In: 9:00 AM | Break: 12:00 PM – 1:00 PM | Clock Out: 5:00 PM

Total shift: 8 hours | Break: 1 hour | Work Hours: 7 hours

Overtime Calculation (FLSA Standard)

Overtime Hours = Max(0, Total Weekly Hours − Threshold)
Regular Hours = Min(Total Hours, Threshold)
Gross Pay = (Regular Hours × Rate) + (Overtime Hours × Rate × Multiplier)

Example: 48 total hours, $20/hour
Regular Pay: 40 × $20 = $800
Overtime Pay: 8 × $20 × 1.5 = $240
Total Gross Pay: $1,040

Why Use This Time Card Calculator?

  • Accurate Payroll: Automatically calculates regular and overtime hours.
  • Break Tracking: Deduct unpaid lunch breaks correctly.
  • Multiple Days: Track a full 7-day workweek.
  • Customizable: Set your own overtime threshold and multiplier.
  • Free & Private: No registration, no data storage.
  • Mobile-Friendly: Works on any device.

Common Work Schedules & Weekly Hours

  • Standard Full-Time: 8 hours/day × 5 days = 40 hours (No overtime)
  • Compressed 4-Day: 10 hours/day × 4 days = 40 hours (No overtime)
  • Part-Time: 4-6 hours/day × 5 days = 20-30 hours
  • Overtime Week: 10 hours/day × 5 days = 50 hours (10 hours overtime)
  • 9/80 Schedule: 9 hours on 8 days, 8 hours on 1 day = 80 hours per 2 weeks

❓ Time Card Calculator FAQ

What is a time card?

A time card (or timesheet) is a record of an employee's start and end times for work periods. Traditional time cards were physical cards stamped by time clocks; modern time cards are digital records used for payroll calculation.

Do I need to track lunch breaks?

Yes! Under FLSA, meal breaks of 30 minutes or more that are completely free from work duties do not need to be paid. Always deduct unpaid lunch breaks to avoid overpaying employees or over-reporting hours.

What is the 7-minute rounding rule?

Many employers round clock in/out times to the nearest quarter hour (15-minute increments). Our calculator uses exact minutes, but you can apply rounding manually based on your employer's policy.

How accurate is this calculator for payroll?

This calculator provides accurate mathematical calculations based on your inputs. For official payroll, always verify with your employer's time tracking system and consult your state's labor laws, as overtime rules vary.

What about daily overtime?

Some states (like California) require overtime pay for hours worked over 8 in a single day. This calculator uses weekly overtime (40-hour threshold) by default. You can enable daily overtime in the advanced options.

Can I save my time card?

You can print the results page or copy the summary. For persistent storage, consider using a spreadsheet or dedicated time tracking software. Keep accurate time records for at least 2-3 years as required by FLSA.

What is the FLSA overtime rule?

The Fair Labor Standards Act (FLSA) requires that non-exempt employees be paid at least 1.5 times their regular rate for hours worked beyond 40 in a workweek. Some states have additional overtime requirements.

What is the difference between exempt and non-exempt employees?

Non-exempt employees are entitled to overtime pay under FLSA. Exempt employees (typically salaried professionals, executives, and administrators) are not entitled to overtime pay. This calculator is designed for non-exempt hourly employees.

How do I calculate my hourly rate from salary?

Hourly Rate = Annual Salary ÷ (Hours per week × Weeks per year). For example: $52,000 ÷ (40 × 52) = $25/hour.

What is the difference between gross pay and net pay?

Gross pay is your total earnings before any deductions (taxes, benefits, etc.). Net pay is what you actually receive after all deductions. This calculator shows gross pay.

What is double time?

Double time is 2× the regular rate. It's sometimes required for hours worked beyond a certain threshold (e.g., over 12 hours in a day in California) or for work on holidays. This calculator uses standard time-and-a-half (1.5×) overtime by default.

How do I handle split shifts?

A split shift is a work schedule with two separate work periods in a day (e.g., 9 AM – 12 PM and 2 PM – 6 PM). Enter the clock in/out times for each period separately. The calculator sums the total hours.

What is the difference between clock time and decimal time?

Clock time uses hours and minutes (e.g., 8 hours and 20 minutes). Decimal time converts minutes to fractions of an hour (e.g., 8.33 hours). Payroll systems often use decimal time for wage calculations.

How do I convert minutes to decimal hours?

Minutes ÷ 60 = Decimal hours. For example: 20 minutes ÷ 60 = 0.33 hours. This calculator automatically converts minutes to decimal hours for accurate pay calculations.

What is the 8/80 rule for overtime?

The 8/80 rule is an alternative overtime system allowed in some states. It calculates overtime based on hours worked in a 2-week period (80 hours) rather than a single 40-hour week. This is common in healthcare and other industries.

How do I account for paid holidays or vacation?

Paid holidays and vacation time are typically not included in overtime calculations. Enter only actual hours worked. Paid time off should be tracked separately in your payroll system.

Can I use this calculator for salaried employees?

This calculator is designed for hourly employees. For salaried employees, use our Salary Calculator to convert annual salary to hourly equivalents.
