How Work Hours Are Calculated

This calculator tracks your weekly work hours and calculates overtime and gross pay. For each day you work, enter your time in and time out, and the duration of your lunch break.

Daily Work Hours = (Time Out − Time In) − Break Duration

Total Weekly Hours = Sum of all daily work hours

Overtime Hours = Max(0, Total Hours − Overtime Threshold)

Regular Hours = Min(Total Hours, Overtime Threshold)

Gross Pay = (Regular Hours × Hourly Rate) + (Overtime Hours × Hourly Rate × Overtime Multiplier)

For example: Working 9:00 AM to 5:00 PM with a 1-hour lunch break = 7 work hours. If you work 45 hours in a week at $20/hour with a 40-hour threshold and 1.5x overtime: Regular Pay = 40 × $20 = $800, Overtime Pay = 5 × $20 × 1.5 = $150, Total = $950.

Understanding Overtime Rules

  • FLSA Standard: The Fair Labor Standards Act requires overtime pay (1.5×) for hours worked over 40 in a workweek.
  • State Variations: Some states have daily overtime rules (over 8 hours per day) or different thresholds.
  • Double Time: Some employers pay 2× for hours worked on holidays or over a certain threshold.
  • Exempt vs Non-Exempt: Salaried exempt employees are not entitled to overtime pay.

❓ Work Hours Calculator FAQ

How do I enter time correctly?

Use 12-hour or 24-hour format (e.g., 9:00 AM, 1:30 PM, or 9:00, 13:30). The calculator automatically converts times to decimal hours for accurate calculations.

What is considered overtime?

In the US, the Fair Labor Standards Act (FLSA) requires overtime pay (1.5×) for hours worked over 40 in a workweek. Some states have daily overtime rules (over 8 hours per day). Adjust the threshold in our calculator to match your situation.

Should I include lunch breaks?

Yes! Unpaid meal breaks (typically 30-60 minutes) should be deducted from total work hours. Use the "Break Duration" field for each day.

What's the difference between regular and overtime pay?

Regular pay is your standard hourly rate. Overtime pay is typically 1.5× (time and a half) or 2× (double time) for hours exceeding the threshold.

Can I use this for multiple weeks?

This calculator is designed for a single workweek. For multiple weeks, calculate each week separately or reset after each week.

What is the standard workweek?

The standard workweek in the US is typically 40 hours over 5 days (8 hours per day). Some employers use a 35-hour workweek or compressed schedules like 4 days at 10 hours each.

How do I calculate my hourly rate?

Hourly Rate = Annual Salary ÷ (Hours per Week × Weeks per Year). For example, $52,000 ÷ (40 × 52) = $25/hour.

What is the difference between exempt and non-exempt employees?

Non-exempt employees are entitled to overtime pay (1.5×) for hours worked over 40 per week under the FLSA. Exempt employees (typically salaried) are not entitled to overtime.

How do I calculate time and a half?

Time and a half = Hourly Rate × 1.5. For example, $20/hour × 1.5 = $30/hour overtime rate.

What is the FLSA overtime threshold for 2025?

The FLSA standard overtime threshold for non-exempt employees is 40 hours per week. The salary threshold for exempt employees is $844 per week ($43,888 annually).

How do I convert minutes to decimal hours?

Divide minutes by 60. For example, 30 minutes = 30 ÷ 60 = 0.5 hours, 45 minutes = 45 ÷ 60 = 0.75 hours.

What is a compressed workweek?

A compressed workweek allows employees to work their full weekly hours in fewer days. Common examples include 4 days at 10 hours each (4/10 schedule) or 5 days at 9 hours with one day off (9/80 schedule).

How do I calculate gross pay with overtime?

Gross Pay = (Regular Hours × Hourly Rate) + (Overtime Hours × Hourly Rate × Overtime Multiplier). This calculator does this for you automatically.

What are the record-keeping requirements for timesheets?

Many labor laws require employers to maintain timesheet records for 2-3 years. Keep accurate records for payroll compliance and to verify paycheck calculations.

Can I use this calculator for freelancing?

Yes! Freelancers can use this calculator to track billable hours, calculate project time, and estimate earnings. You can set your hourly rate and track time for different clients or projects.

What is the difference between time tracking and timesheets?

Time tracking is the ongoing process of recording work hours as they happen. A timesheet is a summary report showing hours worked over a specific period (usually a week or month). This calculator generates a weekly timesheet summary.
